All conference packages can be tailored to suit your specific needs. Conferences & Meetings at The GDSC The GDSC is the first choice for conferences and meetings in Grafton. Convenient location at a comfortable, modern venue with abundant off street parking for your guests Three private purpose built meeting rooms that can be expanded for large groups depending on your specific needs, large auditorium and the modern Les Beattie Function Room available for hire Ability to host up to 500 guests Three levels of conferencing packages to suit all tastes and budgets Open 7 days from 9.30am until late (early access for your meeting can be arranged if required) The Coffee Corner café open daily and Restaurant 24sixty open for lunch and dinner

5 Our Meeting Rooms All of The GDSC s meeting rooms are conveniently located on the 1st floor of the Club, allowing you and your guests a quiet and private environment to carry out your meeting in comfort. Room Set up Theatre Style MEETING ROOMS 1-3 Three purpose built meeting rooms with the ability to expand each room to be one larger room, as your needs demand. Option 1 seat up to 30 guests $33 daily hire Option 2 seat up to 60 guests $66 daily hire Option 3 seat up to 90 guests $99 daily hire Class Room U Shape LES BEATTIE FUNCTION ROOM This contemporary function room provides an elegant setting for a formal presentation, corporate breakfast or luncheon, corporate gala event or a sporting presentation with a large space accommodating up to 120 guests with a dance floor or 180 guests without. The Les Beattie Function Room boasts its own bar and bathroom facilities for the comfort of your guests. $99 daily hire Board Room Cabaret AUDITORIUM The auditorium is a large function room located on the ground floor of the Club. This space is able to hold up to 500 guests and is most suitable for large presentations, fundraising events and trade shows. $250 daily hire Banquet (also available in round tables)

7 Additional Activities Make the most of your conferencing time at The GDSC with our additional activities that can be added onto any conference package. Incorporating sports and recreational activities into conferencing schedules help your team connect and provide great networking opportunities. BAREFOOT BOWLS The GDSC boasts 2 bowling greens, available for you and your guests. Add barefoot bowls onto any package for just $5.00pp. Includes hire of bowls, basic instruction and green fees. The greens are located with access to the outdoor BBQ and deck areas and have easy access to the bar and dining facilities. Talk to our functions team about incorporating a BBQ or catering package into a barefoot bowls session. TENNIS Why not wind down after a meeting with a game of tennis? The Club s two courts are available to hire day and night for just $5.50pp for your function group. WOULD YOU LIKE ACCESS TO BOTH TENNIS AND GOLF? Add a multi sports option to your conference package for just $7.50pp (normally $10.00pp). GOLF The GDSC Westlawn Golf Course is a 9 hole, par 35 course, situated within the Grafton Racecourse Complex. Add a round of golf onto your conference package for just $10.00pp. Ideal for corporate groups, add a Drinks on the Course package to your golfing day out for an additional $150 per group and receive: Courtesy bus transfers to and from The GDSC Esky with ice for all drinks purchased form the Club to take to the course (bottleshop prices) An RSA certified staff member to accompany you around the course (condition of the course when serving alcoholic beverages) OTHER ACTIVITIES We can arrange an activity to suit your group s needs. 9 The GDSC Function Terms & Conditions 1. Confirmation and Deposit 1.1 All reservations must be accompanied by a 5% per head deposit and a completed terms and conditions form 21 days prior to your booking. 1.2 Management reserves the right to cancel any booking not accompanied by a deposit. 1.3 Estimated numbers are required 2 weeks prior to the function, and final numbers to be confirmed 3 working days before the function. 2. Cancellation 2.1 All cancellations must be made in writing and/or to the Functions Manager at erin.brown@gdsc.com.au 2.2 Deposits paid are refundable up to 10 days prior to the function date. 2.3 After 10 days prior to the function, or in the case of non-arrival, cancellations shall forfeit all monies paid, and the GDSC reserves the right to charge for the numbers confirmed. 3. Pricing 3.1 All pricing is inclusive of Goods and Services Tax (GST). 3.2 Whilst every effort is made to maintain prices, all pricing may be subject to alteration prior to your function, and current pricing will be applied to your function. 4. Payment 4.1 The client is responsible for confirming final numbers and should they not be advised the client may be charged for estimated numbers. 4.2 Beverage packages must be paid at the time of food payment. Beverage accounts on consumption must be finalised by the conclusion of the function. 5. Timing of Functions 5.1 Start and end times must be estimated at the time of booking, and confirmed not later than 10 days prior to the function. 5.2 Departure times must be strictly adhered to. Management reserves the right to enforce closing time at any point during the night. 6. Entertainment 6.1 The GDSC reserves the right to approve all musicians, bands, DJ s and other forms of entertainment prior to the function. 6.2 Cd s and IPods are compatible with our sound system and may be used during functions. The sound system is to be operated by the GDSC staff at all times. 7. Deliveries 7.1 All deliveries (e.g. Wedding/Birthday Cakes, flowers, place cards etc.) and their times are to be arranged with the manager. Deliveries can be made the day of and prior (please check with functions Manager) to the function from 9:30am. 7.2 The GDSC accepts no responsibility for goods left on the premises. 8. Liability 8.1 The person named as Client/Company shall be responsible in full for all costs and charges as a result of the agreed reservation. 8.2 The Client/Company shall be liable for any damages sustained to the Club by the Client/Company and guests, agents for or any other persons associated with the function whether in the room of the function or any other area of the property. 8.3 The GDSC and its employees or agents will not be liable for any injury, damage or loss of any nature, however caused (Through negligence or not) suffered by the Client/Company or guests, agents or for any other persons associated with the function. 8.4 The Club reserves the right to exclude or eject any or all objectionable persons from the function or the Club premises without liability. 8.5 It is understood that the guest will conduct the function in an orderly manner in full compliance with club management and applicable laws. 9. Unforeseen Circumstances 9.1 In the unlikely event of inability to comply with any of the provisions of this contract, by virtue of any cessation or interruption of utilities, electricity or gas supplies, industrial disputes, plant or equipment failure, unavailability of food stuffs, other unforeseen contingency or accident, the venue reserves the right to cancel any booking, and refund the deposit paid, at any time. 10. Liquor Licensing Act 10.1 Management and staff will abide by all conditions set down in the Liquor Licensing Act. 11. Food/Beverages 11.1 NO food or beverages will be permitted to be brought into the club for consumption at the function; by the organisers and any other persons attending (excludes Wedding/Birthday/specialty cakes). The GDSC reserves the right to alter any of the aforementioned conditions.
