1 Hyland Hills Chalet 8800 Chalet Road Bloomington, MN Alpine Room Rental Guidelines Hyland Hills Located in Bloomington, nestled in the scenic 1000 acre Hyland Lake Park Reserve, Hyland Hills Ski Area is truly a unique venue in the Twin Cities. The chalet offers 2 great rental spaces, the Alpine Room and the Ridgeview Room. The Alpine Room has a capacity of 320 for a seated event, and its 40 ft. windows boast a dramatic panoramic view of the entire ski hill. The Ridgeview Room is perfect for more intimate gatherings of up to 48 people. The Alpine Room is a beautiful unique space with the perfect backdrop for family celebrations, wedding receptions, engagement parties, corporate outings or meeting and other special events. The newly renovated chalet features a soaring pine ceiling, large bank of windows, and a fantastic view of the ski slopes. Rental Fees (fees do not include sales tax) April September Saturday and Holidays The Alpine Room $1900 The Alpine Room and Ridgeview Room $2050 Damage Deposit ** $400 Security *** $240 Friday & Sunday The Alpine Room $1600 The Alpine Room and Ridgeview Room $1750 Damage Deposit ** $400 Security *** $240 Monday Thursday The Alpine Room $950 The Alpine Room and Ridgeview Room $1100 Damage Deposit ** $400 Security *** $240 Ceremony (fees do not include sales tax) Ceremony chairs are not provided and will need to be rented from an outside rental company Great Lawn Top of Hill included (up to 320 people) $1200 (up to 320 people) * includes chair lift ride to the top of the Hill for ceremonies only. This rental is for a 3 hour timeframe and is not available after 7PM; as a courtesy, transportation will be available per your request.
2 Alpine Room Rental Hours Daily rental hours are 10:00am 11:00pm Events will end at 10:40pm to ensure adequate clean-up time. All set-up and take down must occur during the rental time frame. Alpine Room Rental Includes Banquet style seating or auditorium style seating for up to 320 Sound System (with built-in speakers, wireless microphone, disk changer, ipod outlet) Portable AV system one projector and one large screen Flat screen TV s Dance floor Outdoor patio with tables, chairs, portable fire ring and café lighting Lawn games- bocce ball, ladder golf and bean bag toss Great Lawn Changing rooms Ample restrooms Room host on duty On-site parking Additional Rental Items A portable PA system is available to rent at $50.00 plus tax for use on the Patio or Great Lawn (for ceremony use only). This includes 2 speakers, 1 microphone and an I-pod hook-up. This will need to be reserved and paid for at least one month prior to the rental date to ensure availability. An outdoor PA system is available to rent at $ plus tax for use of ceremonies on the top of the hill. This includes 2 speakers, 1 microphone and an ipod hook-up. This will need to be reserved and paid for at least one month prior to the rental date to ensure availability. Reservations and Payment At the time of the reservation the room fee, damage deposit and security fee are due in full. Your beverage totals for the final guest count plus a 20% service charge will be due 14 days prior to your event date. Any additional items requested by the guest must be paid in full the day of the event. Payment can be made by contacting the Group Sales Coordinator at Payment can be made with American Express, Discover, Master Card or Visa. Payment can also be made with cash or check at the time of the reservation. Cancellation Policy If a cancellation is made 240 days prior to the use date 100% of the fee will be refunded. If a cancellation is made 120 days prior to the use date 80% of the fee will be refunded. For cancellations made 60 days prior to the use date, 50% of the fee will be refunded. All cancellations made after 60 days are non-refundable No refunds are given due to weather conditions unless the park or facility is officially closed due to severe, life-threatening weather. Top of Hill Ceremony- A full refund will be issued if a top of hill ceremony is cancelled no later than 24 hours prior to the ceremony time. No refunds are issued, full or partial, for cancellations less than 24 hours prior.
3 Tours - To view the Alpine Room, please schedule a tour with the Group Sales Coordinator by calling or ing Shelley.Wall@threeriversparks.org. Open Houses will be offered from 5:00pm- 7:00pm the first and third Tuesday of each month, April 17-October. **Damage Deposit - A damage deposit of $400 will be due at the time of the reservation. If damages occur, or guidelines are not followed, your damage deposit may be retained. If no damages occur and all guidelines are followed, the deposit refund will be processed by the Park District s Guest Services Department within 30 days after your event date. ***Security Fee For all rentals after 7PM a security fee will be charged in addition to the rental fee. The fee of $240 covers the cost of providing on-site security during the rental. Security will be charged regardless if alcohol is being served. Individuals may not contract their own security. Outdoor Ceremony The great lawn adjacent to the Alpine Room can be utilized for ceremonies and basic socializing space. For an additional fee the top of the Center Chair can be used for an outdoor ceremony. ***Chairs must be rented from a third party rental vendor. Delivery, set-up and take-down of the rental chairs and/or high-top tables must be done by the rental party or vendor within the 10am-11pm rental timeframe. Patio Area The outdoor patio space can be utilized for a social gathering area. Any further formal table components or formal seating needed for use of the patio space is not included. *Chairs or high-top tables for the patio must be rented from a third party vendor.* Set up and take down of rental chairs and/or hightop tables must be done by the rental party or vendor within the 10am-11pm rental time frame. Food - All food (with the sole exception of wedding cakes and desserts) must be provided by one of the Three Rivers Park District Approved Caterers. For a copy of the Park District Approved Catering List please visit our website at ThreeRiversParks.org. Please note that a 13% caterer s usage fee is assessed to each caterer by the Park District. It is the caterer s responsibility to pay this fee; however, you should expect it to be incorporated into your bid from the caterer. Beverage All alcoholic beverages are provided by Hyland Hills. Beverage selections, details and guaranteed attendance counts are due two weeks in advance of the event date plus a 20% taxable service charge. If you shall request any additional items, these must be paid in full the day of the event. All prices are subject to change without notice. Hyland Hills will guarantee pricing 60 d a y s prior to your event date. Please see the enclosed for a beverage listing. Alcohol In accordance with Three Rivers Park District s ordinance pertaining to alcohol use (Chapter 3, Section 1C Drug and Alcohol Use) beer, wine, hard lemonades and other malt based beverages are permitted. Hard liquor is not allowed anywhere on Park District property. Bartending Services Bartending services must be arranged through the Group Sales Office Bartending services are $40.00 an hour plus tax with a 4-hour minimum. If an additional bar is needed, an additional $40.00 an hour will be paid. The fee for a wine or champagne pour is $160. Zero Waste Events The Alpine Room is designated as a Zero Waste facility. Three Rivers Park District is committed to lessening our impact on the environment by reducing the amount of waste generated at events. Please refer to the attached information on tips for planning zero waste events.
4 Wedding Rehearsals You may schedule a wedding rehearsal on the great lawn or top of the hill for a onehour time period during normal operating hours Monday Thursday if the facility isn t already reserved for an event. To schedule a rehearsal, please call our Group Sales Office at no sooner that 30 days prior to your event date; a fee of $50 plus tax is charged at that time. Event Host A host will be present during your event. This host is there to help with anything Hyland Hills provides (room set-up), help facilitate any room changes and clean up to ensure that park policies are followed. If you are unclear about any of our policies or expectations, please ask. Tables and Chairs Your event layout must be selected two weeks prior to your event date. Table sizes: 60 rounds, 6 and 8 banquet style. Other tables and chairs are not allowed to be brought into the room without Hyland Hills approval. Any desired outdoor chairs or high-top tables, indoor or outdoor, must be rented from a third party rental vendor. Music/Amplification Live bands and Dj s are allowed; however, lighting and music sound levels must comply with the Park District Ordinance and building electrical capacity. Amplification is not allowed on the patio. Decorating - All decorations must be set up and taken down during the rental period. Anything left after the checkout time will be discarded and a portion of your damage deposit could be retained. Please see the Decorating Guidelines for further information. Signs and Banners Temporary signs or independent laths may be located within the park. Banners or signs may not be tied, taped or otherwise affixed to or across trees, signs, or other post-type structures. All signs and banners must be set-up and removed within the rental time frame. Signs placed outside the park may be subject to local city ordinances and may be removed. Room Cleanup Events will end at 10:40PM to ensure adequate cleanup time. Your group is responsible for cleaning the facility throughout your event and at the end of the night. Smoking It shall be unlawful for any person to smoke or use tobacco products in or within 25 feet of any entrance to the chalet. Please use receptacles in the designated areas outside. If cigarettes are not properly placed into the receptacles provided your damage deposit will be retained. Pets in the park Pets are not allowed at Hyland Hills. Additional Fees- Additional fees may apply for special requests that are not listed in these guidelines.
5 Decorating Guidelines All decorating setup and take down must be done within your rental timeframe. We reserve the right to withhold a portion of your damage deposit if decorating guidelines are not followed or if excessive cleanup is required. Taping, stapling, nailing, gluing or pinning is not allowed inside or outside (this includes any 3M products). Indoor Decorating Tables and Chairs- All tabletop decorations must be freestanding. You may tie decorations to the chairs. Indoors tables and chairs may not be moved outside. Any desired outdoor chairs or high-top tables must be rented from a third party rental vendor. Indoor Flames- Candles must be in a container in which the sides are higher than the wick to prevent wax from dripping on the tables. Candles cannot be on the window sills or on the steps. Extension Cords- We do not provide extension cords. You will need to supply your own. Glitter and Confetti- Confetti, rice, birdseed, streamers, glitter or poppers may not be used. Bubbles are allowed outdoors only. Flower petals are allowed only if picked up immediately afterwards. Fog and Smoke- Fog and smoke machines are not allowed. Table Sizes- We offer 60 rounds and 6 and 8 banquet tables. Room Dimensions- The Alpine Room is approximately 44 x 122 and the Ridgeview Room is approximately 22 x Outdoor Decorating Patio- Decorations may not be placed beyond the edge of the patio area. Glitter and Confetti- Confetti, rice, birdseed, streamers, glitter or poppers may not be used. Bubbles are allowed outdoors only. Flower petals are allowed only if picked up immediately afterwards. Balloons- Balloons are allowed; however, all fragments that are on the ground must be picked up. Balloons may not be released in the park. Outside Flames- Candles, tiki torches, luminaries, sparklers, fireworks, wish lanterns or any type of open flame outside are not allowed. Canopies- Canopies are allowed. All canopies must be set up in designated areas. Signs and Banners- Temporary signs on independent laths may be located within the park. Banners or signs may not be tied, taped or otherwise affixed to or across trees, signs or other posted-type structures.
