15 TERMS & CONDITIONS TENTATIVE BOOKINGS We will hold a tentative booking for a maximum of 7 days. CONFIRMATION You are requested to confirm a booking in writing or via . DEPOSITS Must be paid within 7 days of confirming your booking. CANCELLATIONS In case of cancellation the Arkaba will not refund deposits unless the function room is resold. PAYMENT All accounts are to be settled prior to, or on the day of the function unless by prior arrangement. Personal cheques are not accepted. MENU SELECTION Details must be finalised at least 10 days prior to the function so our chefs can assure the quality and availability of food. Please inform us of any dietary requirements as we can cater for your every need. All prices are inclusive of GST. Functions with over 100 people will be alternate drop. FINAL NUMBERS Are required 5 clear working days prior to your event. This number will represent the minimum numbers for which you will be charged. ROOM R AT ES Includes the use of all in house audio visual equipment such as data projector, screen, television, DVD and video, white board and lectern is also included. Subject to availability. INSUR ANCE We cannot take responsibility for damage to or loss of items before during or after an event and recommend that you arrange appropriate insurance cover. CLIENT RESPONSIBILITY Organisers are financially responsible for any damage/breakage sustained to the Arkaba by the organiser, organisers guests, invitees or other persons attending the function. SECURITY Arrangement for security can be made upon request. An additional charge will apply. EXTENDING HOURS Any event continuing beyond the confirmed departure time may incur an additional charge. ACCOMMODATION Subject to availability, function rates will be offered in conjunction with your event. PARKING Is free to all patrons of the hotel and is subject to availability. FOOD & BEVERAGE No food or beverage may be brought onto the hotel premises for consumption during an event. A $12 corkage charge will apply for any pre organised wine and sparkling only. FUNCTION ROOMS We reserve the right to re-allocate function rooms due to circumstances beyond our control. If the final numbers increase or decrease significantly from those advised at the time of the reservation, we may substitute a more appropriate room for your choice. We will discuss any changes with you when the decision is made. ADVERTISING Prior permission is required to use the hotel name and/or logo in print and/or audio visual display. All proposed artwork must be approved by the hotel management prior to publication. CLEANING General and normal cleaning is included in the cost of the room hire. Additional charges may be incurred by you in instances where an event has created cleaning requirements which are considered to be over and above normal cleaning. RESPONSIBILITY Should we be unable to provide facilities reserved due to circumstances beyond our control, no further claim other than entitlement to a refund of any deposits may be made. We will endeavour to provide you with reasonable notice. ADDITIONAL SERVICES We will be pleased to arranged a variety of additional services upon request, such as entertainment, technical equipment, theming etc. A charge may be incurred for these services. If the event is cancelled such service charges will be your responsibility. 13
