Venue Hire Excludes Décor & entertainment, speciality crockery, cutlery & glassware, Cash Bar Service (R2,500 incl all glassware & ice, set up and management), Barmen (R450@) & Waiters (R350@) from 17h00 to 00h00. 1 The Big Red Barn is a full service venue and is not available for dry hire. NO outside caterers or beverage providers are allowed unless by prior arrangement and compensation negotiated for loss of earnings to The Big Red Barn. 2 Weddings are not considered functions and a separate information sheet is applicable. 3 Price increases for venue hire, staffing, food & beverages and all other services are subject to change. If no deposit and signed documentation has been received the new tariffs will automatically become effective therefore super ceding the quotation provided. Written notice will be provided of said increases no later than 30 days prior to the event. 4 50% discount is applicable on the buffet menu for children under 8 years, with a maximum of 10 children. 5 Provisional bookings will be held for 14 days after quotation. Unless signed documentation and deposit received the booking will be released without consultation. 6 Bookings are subject to the submission of signed Terms and Conditions as well as the Indemnity Agreement of The Big Red Barn. 7 Prices currently quoted exclude VAT and are subject to change to include VAT in the event that The Big Red Barn becomes VAT registered. 8 Venue hire for private functions exceeding 300 pax is subject to change due to additional administrative responsibilities on the part of The Big Red Barn with regards to permits and other municipal regulations. 9 To secure the provisional booking payment must be made by 17h00 hours 14 days after quotation date (as indicated on the quotation) and proof mailed to functions@thebigredbarn.co.za together with signed quotation, Terms & Conditions and Indemnity. 10 Failure to pay deposit by stipulated date may result in the provisional booking being cancelled without consultation. 11 Full payment of the the balance due for venue hire, catering and additional negotiated services is due 14 days prior to the event. Final confirmation of the number of guests as well as menu choices are to be confirmed 14 days prior to the function and no alterations will be allowed to either the number of guests or the menu choices thereafter. Cancellation fees: Full holding deposit will be forfeited should the event be cancelled 30 days or less prior to the event. 50% of the deposit with we forfeited should the function be cancelled 30 days or more prior to the function. 14 No fireworks or open flames will be allowed on the premises. 15 No sticky tape, nails, screws, prestick, double sided tape, adhesives of any kind or staples are to be used anywhere on the premises. 16 Items not supplied by the venue are to be removed by 08h00 the day after the event. The Big Red Barn nor it's employees or agents will not be held responsible for said items. 17 Damage(s) to the venue (including furniture and fittings) by the client, their guests or the clients contracted service providers will be for the clients account.

8 FREQUENTLY ASKED QUESTIONS 1 Can we provide our own catering? The Big Red Barn is a full service venue and no private catering or beverages are allowed. 2 Can we provide our own wine/champagne? A corkage fee of R35 per bottle is applicable. 3 Can we set up for our function the day before? Full venue hire will be applicable dependant on availability. 4 Can we set up the evening before the function? R500,00 per hour or part thereof is applicable between 17h00 and 20h00. Thereafter R1, per hour or part thereof is applicable. Payment is to be made upfront or in cash on completion of the set up. 5 What seating options are available? The Big Red Barn has sourced an eclectic mix of wooden tables and chairs that are included in the venue hire. There are also 8 seater picnic tables on the premises which may be used as alternative seating. Use of the picnic tables are subject to availability. 6 Are alternative seating arrangements available? Alternative seating may be hired in and set up at the clients expense. An additional R1, will be charged for moving and storing The Big Red Barn's furniture. All hired in décor and furniture is to be removed from the premises by 08h00 on the day following the event. Should The Big Red Barn have to remove the hired in items to restore the venue for normal trade an additional R1, will be due. 7 Can we hire in hay bales? Hay bales can be hired in at the clients expense. A Fire Retardant Certificate is to be produced by the supplier before the items will be allowed onto the premises. 8 When do we settle the beverages account? Full settlement will be required before the responsible person leaves the premises in either cash or by means of credit/debit card. 9 Is draping allowed? A Fire Retardant Certificate will need to be supplied by the service provider before fabric draping can commence. All methods of anchoring the draping are to comply with health and safety regulations as well as not damage The Big Red Barn. Should a cherry picker be hired in the necessary arrangements will need to be made in advance. Any damage to The Big Red Barn will be billed to the client. 11 Can a marquee tent be erected on the property? By prior arrangement only. Rental and all relevant engineering certificates as well as health and safety requirements are for the clients account. Any damages to the lawns/property will be for the clients account. 12 Can Acrobranch be closed down for the day of our function? Compensation for loss of earning will have to be negotiated with Acrobranch directly as they are independent contractors on the premises.

9 INDEMNITY AGREEMENT entered in between: NAME IDENTITY NUMBER (Herein after referred to as the INDEMNITOR ) and The Olifants Barn (PTY) Ltd T/a The Big Red Barn Company registration Number: 2012/187422/07 (Herein after referred to as the INDEMNITEE ) WHEREAS, the indemnitees have agreed to allow the indemnitor the use of the premises situated at the corner of Glen Road and Nelson Road, ( the premises ) for the staging of the Indemnitor s function/event/exhibition (dd/mm/yy). NOW THEREFORE IT IS AGREED THAT the Indemnitor agrees that he/she/it will at all times hold harmless and keep Indemnified the indemnities and their proprietors, directors, shareholders, employees and agents indemnified against all actions, suits, proceedings, claims, demands, costs and expenses arising out of the function/exhibition/event being held at the premises. IT IS FURTHER AGREED that the indemnitee shall not be responsible for any damages of whatsoever nature, howsoever and whensoever arising, including but not limited to, loss of profits, consequential damages or any damage to stock-in-trade, equipment, machines, raw materials, or other articles kept on the premises (whether the property of the indemnitor or that of anyone else) by rain, hail, lightning, fire or as a result of theft or by burglary with or without forcible entry or through any cause whatsoever. Nor shall the Indemnities be responsible for any personal injury which may be sustained on or about the premises, or through the use of cycle paths maintained by the Indemnitees.
