12 STANDARDIZED GUIDELINES & PROCEDURES E v e n t P l a n n i n g C a t e r i n g & M e e t i n g R o o m S e r v i c e s FOOD & BEVERAGE ORDER SPECIFICATIONS To ensure the proper planning of your event, we request that all Food and Beverage specifications be received in writing by our office no less than 90 days prior to the date of your first scheduled service. CONFIRMATION OF ORDERS Upon receipt of all written Food and Beverage specifications, your Stonebridge Sales Professional will review them and, in turn, provide you with written confirmation of the services you have ordered within 5 business days. The confirmation will be in the form of separate event orders for each individual service. Signed event contracts should be received by Stonebridge no less than 90 days prior to the start of the first scheduled event. Stonebridge s Services Agreement (contract) outlines specific agreements between the customer and the caterer. The signed Service Agreement must be received by Stonebridge no less than 90 days in advance of the first scheduled event. If the signed Service Agreement is not received at least 30 days prior to the first scheduled event, menu prices are subject to change with market conditions. The Event Orders, when completed, will form part of your contract. MENU PROPOSALS In addition to designing menus for Special Events, our sales professionals are often asked to design menu proposals to meet additional customer requirements. Included in the menu planning and pricing evaluation, which accompanies these proposals, are considerations given to the expected attendance at these events. Should an event s attendance fall significantly below the original number expected, the proposed menu price might be subject to change. FLOOR PLANS FOR CATERING FUNCTIONS Your sales professional will review both the guest seating arrangements (floor plan) and the behind the scenes logistics to ensure ample space has been considered, making appropriate recommendations for both areas to create the best possible guest experience. Often, large events require catering (dishing, serving, clearing) to take place in areas that are not commonly dedicated to that purpose. In these instances, the customer and the Stonebridge Sales Professional will discuss effective solutions (such as pipe and drape) to mask food service staging areas from the guest s view. The costs for additional equipment such as this, which may be provided by the customer s decorating company or through Stonebridge, will be the responsibility of the Customer.

13 P a y m e n t & C r e d i t ACCEPTABLE FORMS OF PAYMENT ARAMARK accepts: Visa, MasterCard, American Express, Certified Cheque and Cash PAYMENT POLICY A non-refundable deposit of $1, is required upon booking your event. 25% is required for events larger than $15, We require 50% pre-payment of Catering Quote 90 days prior to an event with the balance due in full 30 days prior to an event. Balance Payment must be certified cheque or credit card. T a x e s & S e r v i c e F e e s SERVICE CHARGE AND TAX All food and beverage items are subject to a 15% service charge and applicable taxes, 13% HST Service fees are subject to 13% HST Note: (++) Indicates the services are subject to service charge and sales tax. (+) Indicates the services are subject to sales tax only. *The service charge and sales tax are subject to change without notice. DELIVERY FEES Any materials placed by Stonebridge Golf Club will be subject to a service fee of $1.00 per item per seat. C a t e r i n g G u a r a n t e e & C a n c e l l a t i o n G u i d e l i n e s GUARANTEES To ensure the success of your event(s) it is necessary we receive your Final Guarantee (confirmed attendance) for each meal function fifteen (15) days prior to the first event Once the Final Guarantee is due, the count may not be decreased. For every event, Stonebridge shall be prepared to serve 5% over the Final Guarantee, up to 50 meals. The customer will be billed based on the Final Guarantee or the actual number of meals served whichever is greater. Stonebridge will make every attempt to accommodate increases in your count after the final guarantee is due, however; any increase exceeding 10% of the final guarantee will be subject to a to a 10% surcharge. If the count increases within the final guarantee timeline, the 5% overage will no longer apply. CANCELLATION POLICY Cancellation of any event must be sent in writing to your Stonebridge Sales Professional. Any cancellation received less than 60 days of the first scheduled event will result in a fee to ARAMARK equal to 25% of the estimated food and beverage charges. Any cancellation received less than 30 days in advance of the first scheduled event will result in a fee of 50% of the estimated food and beverage charges. Any cancellation received after the Final Guarantee has been provided will result in a fee equal to 100% of the charges on the affected event order(s). This is over and above the $1, Non-Refundable Deposit for Weddings. MINIMUM REQUIREMENT FOR MEAL FUNCTIONS There is a minimum guarantee of 50 people for all meal functions (seated or buffet). If the guarantee is less than 50 people, a $ staffing fee plus tax will apply. Any service having less than $ in catering will be charged a $ labour charge.

14 C l i e n t F o o d & B e v e r a g e P o l i c y Any requests for importing food and beverages will be at Stonebridge s discretion and will be considered on a case-by-case basis. Please inquire with your Stonebridge Sales Professional. This includes requests for exhibitor amenities such as logo-bottled water, hard candies and sample products. Alcoholic beverages cannot be brought onto or removed from the site. Any illegal alcohol will be removed and disposed of. All alcohol service requires smart served trained employees. AMENITIES, MENU OF SERVICES AND TIMETABLE TABLE STANDARDS The Stonebridge banquet minimum standard for a plated/seated meal is for service at tables of eight (8) guests with 1 server per 24 guests. And for buffet meals, the Stonebridge minimum standard is 1 server per 32 guests. An additional labor fee will be applied for any set that requires tables that seat less than eight (8) guests. The fee will be assessed according to the additional wait staff required to service the event at $20.00 per hour plus applicable Sales Tax with a four (4) hour minimum. Clients are responsible for arranging their own centerpieces. CHINA SERVICE All catered sit-down meals are serviced with china and glassware and linen. Outdoor events are routinely accompanied by high-grade disposable service-ware. If china service is desired, however, on these functions, a china charge will apply. The china charge is ($5.00) per person. Additional Attendants may be needed for service and a labour fee be assessed at $20.00 per hour for a 4 hour minimum. DANCE FLOOR Stonebridge has a permanent dance floor provided at No Charge. It can not be moved from its location. TABLECLOTHS & CHAIRCOVERS All tables for meal functions are dressed with standard white or ivory house linen and napkins. All chairs are covered in standard white or ivory linen covers. Your sales professional will be able to assist with any custom linen and décor details at additional charges. Specialty linens will be priced at fair market value. COAT CHECK SERVICES Self Serve complimentary service for you and your guests or clients.

15 TIMETABLE FOR SUCCESSFUL EVENTS ADDITIONAL INFORMATION Booking 90 Days 30 Days 15 Days The outdoor terrace is open weather permitting and is a common area that your guests may share with our golfing patrons. $1000 deposit due (non-refundable) Signed service agreement due, 50% of catering quote due F&B specifications due, sign and return event orders, final 50% of catering quote due Guarantees due Use of locker and shower facilities. Our banquet facility can seat up to 130 people for a sit down plated dinner service, 120 people for a buffet dinner service, and there is standing room for up to 180 people for a reception style event. PROPERTY DAMAGES ARE THE RESPONSIBILITY OF THE CONTRACT HOLDER If any of your guests are responsible for causing any damages to the facility or grounds, the contract holder will ultimately be responsible to cover the costs of repairs. This includes excessive cleaning due to guest s behavior. (i.e. being sick on the floors or walls) There is to be no taping, sticking or pinning to the walls in the room. Decorations and centerpieces are the responsibility of the client, unless arrangements are made. Decorating can be done at 10am on the day of the event (unless otherwise specified) and all decorations etc. must be taken at the end of the night. (Please book your set up time in advance). All food and beverage is served and prepared in the building by the Stonebridge Catering department. We welcome all entertainment (djs, bands etc). There is a SOCAN / RE.SOUND fee of $85.80 (+ taxes) for any music being brought into the establishment (live or recorded). We can customize a personal Menu if you do not see what interests you in our Menu package.
