OUR VENUES The Chapel (120 guests) Our beautiful stone and thatch chapel, nestled between towering pine trees, can accommodate 120 guests. The quaint stonework of the bridge leading to the Chapel provides unique photo opportunities. The Chapel hire is R3500 The Pavilion ( guests) This is a country-style thatch and stone venue, which overlooks an expansive garden terrace and Koi pond. This venue can accommodate a maximum of 120 guests (round tables of 10), incorporating a dance area and buffet setting. On special request and at the discretion of management, 150 may be accommodated; however there will be no dance floor and extra tables (either 3 round or 24 long), chairs & all linen will need to be hired as well as all extra cutlery and crockery at your cost. You may also be charged for additional staff required. The Madwala Room (20-40 guests) A private air-conditioned room with sliding doors which open onto a paved terrace overlooking the gardens is ideal for smaller functions. This venue can accommodate a maximum of guests (depending on table layout). It has its own area that can accommodate a satellite bar and separate room that may be used to serve the buffet. A spit braai may also be an option on the terrace area. THE BRIDAL PACKAGE We have compiled a Wedding package to make things a little easier for you. 6 TO SECURE VENUE & DATE A provisional booking may be made and will be held for 14 days; however in order to secure your booking we require a nonrefundable deposit, of R which is offset against your final invoice. Please ensure once your deposit has been made that your signed Booking contract, Terms & Conditions together with Proof of Deposit is e mailed to events@chanteclerhotel.co.za. The deposit will secure the Date and the Venue for your Wedding. PLEASE NOTE THAT A 50% DEPOSIT OF THE ESTIMATED BILL WILL BE REQUIRED 3 MONTS PRIOR TO THE WEDDING DATE. Please supply final numbers a minimum of 14 days prior to the wedding, at this time the outstanding balance will be recalculated and settlement of this will be required at this time. A final meeting 21 days before the wedding would be to your advantage so we can make final decisions on menus, set-up and all other details. Once final numbers are confirmed no refunds will be given. Failure to comply will result in the cancellation of your function. PLEASE NOTE THAT THE FOLLOWING CANCELLATION OR POSTPONEMENT FEES ARE APPLICABLE. 4 months prior to the wedding50% of the estimated total cost 4 months 2 months75% of the estimated total cost 1 month or less100% of the estimated total cost Our venue is available until 24h00; thereafter guests are invited to move across to the Sports Bar to continue their celebrations. Please note there will be an R per hour charge for every hour after 24h00 that the sports bar is in use and R250 per barman. This must be paid to the manager on the night either by cash or card. The bar will only remain open until 2am. A 10% GENERAL SERVICE FEE WILL BE LEVIED ON THE FOOD AND DRINKS. BAR The Chantecler Hotel is fully licensed and has a variety of wines for you to choose from. Please feel free to discuss your requirements with our experienced staff. All Bar Tabs are to be paid in full prior to the conclusion of your Wedding. All alcohol must be purchased through the hotel. No alcohol will be allowed on property without authority from your Co-ordinator. Only food and beverages purchased through the hotel may be consumed on the grounds. Anyone found in possession of beverages or alcohol not bought from the hotel will be charged corkage and all beverages/alcohol will be confiscated or on non-adherence the guilty parties will be requested to leave the Hotel Property. CHILDREN Children MUST be properly supervised. Children attending the reception will be charged half price. ACCOMMODATION It is advisable to book in advance in order to avoid disappointment. 7 TERMS AND CONDITIONS The client hereby agrees to The Chantecler Hotel s terms and conditions as stipulated hereunder. 1. The Chantecler Hotel and its service providers endeavor to ensure that highest excellence in providing their service to their clients in respect of food, décor and accessories. In the event of a dispute arising between a third party service provider and the client, the client agrees to indemnify and hold the Chantecler Hotel and its managing agent harmless in respect of liability for such disputes. 2. The Chantecler Hotel shall not accept responsibility for any loss, theft, harm or personal injury suffered which client and its guests are in occupation of the premises where The Chantecler Hotel, its staff or agents have not been grossly negligent or reckless. 3. In the event that the event is cancelled 90 days prior to the event date, The Chantecler Hotel shall require written notice of cancellation and the client hereby irrevocably agrees that a 50% cancellation fee will be payable. In the event that notice of cancellation is received within less than 90 days, the client shall be liable for the full cost of the function as agreed. There shall be no relaxation or waivers in this regard. 4. No alcohol is permitted on the premises. The client signing these terms and conditions shall be liable should this rule be transgressed by any of their guest. 5. Unruly behavior will not be tolerated and The Chantecler Hotel shall retain the right to remove any unruly guests from the venue. 6. The Chantecler Hotel shall not be held liable for any interruption of services such as electricity or water supply, where the cause thereof is beyond their control. In the event that a generator is required this shall be invoiced for separately and the client agrees to be held liable for these additional costs. 7. Quotations shall be valid for a period of 7 days. A deposit shall be required to be paid to The Chantecler Hotel within the 7 day period in order to secure a provisional booking. 8. The balance of the quoted price shall be payable 3 weeks prior to the function date. 9. The client shall inform The Chantecler Hotel of any changes to décor or the menu at least 3 weeks prior to the function. Such changes may incur additional costs and the client agrees to pay any of these additional costs upon receipt of an amended invoice. 10. In the event that the client is permitted to bring their own décor onto the premises, this shall be at the discretion of The Chantecler Hotel and the client shall be required to remove same immediately after the function. The Chantecler Hotel shall not be held liable for any décor not removed. 11. The client agrees to confirm the final guest count at least 7 days prior to the event, if the actual number of guests in attendance is less than the guaranteed number client shall be charged for the guaranteed number. If the actual number of guests is more than 10 people more than the guaranteed number The Chantecler Hotel will charge for each additional guest in excess of the 10 at their usual standard rate. 12. In the event that it is agreed by the parties to postpone the function date, the client agrees to pay the prevailing rates as at the new date. 13. The client agrees that all future correspondence shall be in writing either by or fax. The client further accepts that The Chantecler Hotel shall only accept instruction and communication from the client who signed these terms and conditions. 14. These shall be the only terms and conditions governing the agreement between the parties and no changes shall be enforceable unless reduced to writing and signed by both parties.
